My Top 5 Time Hacks As A 6-Figure Business Owner & Mama of 2

It’s that time of the year where life gets a little more full. You’re wrapping up for the year, thinking about Christmas, New Year, holidays, and planning for 2025 all at the same time.

I can feel the collective, frantic end-of-year energy creeping in, like "oh my goodness, there’s so much to do, not enough time" – which, honestly, is not a vibe or something I enjoy.

As a business owner and mum of two who works around 15 hours a week, I know the juggle well and what it’s like to feel stretched. 

And while there’s no magic hack to get rid of that completely – the right support, systems, mindset and strategies do make it easier. You can create more time and space, so you’re not always feeling behind.

So if right now you’re feeling short on time and overwhelmed – today’s episode of the Feminine Fire Podcast is for you because I’m sharing my top 5 time hacks as a spiritual business owner and mama of two.

These time hacks aren’t just about getting things done faster – they’re about creating more space for what truly matters.

So let’s dive in. My top 5 time hacks to help you reclaim your time in business and life.

Time Hack 1. Have a Plan and Set Clear Priorities Each Week

If you know me, you know I love a plan. I’m a big believer in the power of planning. 

And one of the main reasons why I bang on about planning all the time is because of how much time it saves you.

And I know it takes time to sit down and create a plan when all you really want to do is get in there and start implementing…but if you take the time to create a plan first and get clear on your priorities, you will save so much more time in the long run. You won’t be faffing about with things that don’t matter OR trying to make a decision about what to do next on the fly.

This is something I see that slows so many business owners down. There are so many decisions you have to make each and every day. So if every time you’re sitting down to take action without a plan, you first have to make a decision on what action you need to take next – that eats into the time you’ve got to actually move forward and implement.

When you have a plan, that decision is already made, so you sit down and hit the ground running.

The way that I do this is I have an overall plan for the business. I generally know what my whole year is going to look like at a high level. I then get into the detail of that every 90 days and all of that is mapped out in Asana. 

At the start of each week I look at Asana, I look at my calendar and then I get clear on my priorities for the week ahead. 

  • What are the decisions I need to make? 

  • What’s going to move the needle forward this week? 

  • What do I need to communicate with my team? 

This way, the decisions have already been made at the start of the week, and then both my team and I are clear on the actions we need to take.

Have a plan, know your priorities and make decisions ahead of time so you’re not wasting time trying to figure it out in the moment.

Time Hack 2. Lean on Support

There are no medals for doing business on your own and this is one that I learnt the hard way. 

In the first almost 4 years of my business, I was convinced that I didn’t need support because I knew what I needed to do, I just needed to do it. It wasn’t until I became a mum, right after Noah was born, that I had one of those “F this” moments and went all in. I invested in a coach and a mastermind and then brought on team support shortly after. 

I’m now a very well supported woman in business and I certainly do not do it alone.

Having support in the business obviously saves me time because I don’t do everything myself – but the time saving aspect of support goes beyond that too.

I honestly USE my support all the time. I’m not shy about jumping into Slack with my business coach and asking her a question or riffing on where I’m at to tease out the decisions or answers or solutions I’m needing in that moment. 

And because I have a plan and I know what my priorities are and what decisions I need to make, instead of deliberating over those decisions and getting stuck, I’ll jump in with my coach or my team and I’ll share “okay these are the decisions we need to make today, this is what I’m thinking or these are the different options I’m mulling over, what do you think? What are your thoughts? Do you have any other suggestions or things to consider here?” 
And I encourage my clients to do the same. To really lean on that support because that’s what you’ve invested in, that’s what it’s there for. 

So having that support and USING that support is probably THE biggest time hack I could share with here.


Time Hack 3. Time Hacks at Home

Time saved at home means more time and space for everything else.


Firstly, I’m not doing it alone here either. Matt and I are a great team, we work together to make it work, we communicate, we talk about what we’ve both got going on so we can coordinate and manage it. I’m the primary caregiver for the boys, I’m home with them on a Thursday and a Friday, but outside of that, when Matt’s home, we’re a team.

And there are some very specific things we do at home to save time. 

One of the biggest ones being something that Matt and I have used for a really long time, even before kids, and its meal planning. We use an app called Mealime, which includes recipes and a grocery list. This saves us time because it takes the decision making out of it. We also always double the recipe so we have leftovers for lunch the next day, which saves us time preparing lunches. 

The other time saving hack at home is that we have some pretty solid routines that keep things simple and save us time and energy. Matt does breakfast, he usually gets the boys ready in the morning, I do the daycare and preschool drop off, we do one pick up each, our nighttime routine is the same every night. Of course, we’re flexible with it too if we need to be but having solid routines makes everything easier and saves us time.


Time Hack 4. Streamline Your Content Creation

One of the biggest time sucks for business owners is creating content. This is a conversation I have with clients a lot – how can we make content creation easier? 

Now, of course, having a plan for your content is going to support you here.

But something that I’ve found really helpful in this space is writing and creating my content OUTSIDE of any of the apps or platforms. So for example, for Instagram, I don’t write my captions directly in the app. I use Google Docs or my Notes app on my phone to write my Instagram captions and then I copy and paste them over.

Same for my email marketing, I use Kit, formerly known as Convertkit, for my email marketing (here is my affiliate link). I don’t write my emails directly in the back end. I first write my emails in a separate google doc and then copy and paste them over. This not only makes it easy to work with my team on any of our content but it also reduces any of the distractions that come with being on these apps. 

Because I don’t know about you, but I find when I try to write content directly in the app I can get distracted and lose focus so easily. By separating the writing and creation from the actual posting process, I don’t get distracted or waste time hopping between tasks.
So if this is something that you find happening, and you’re not already separating out the writing and creation from the posting and scheduling – this is what I’d recommend. Separate it out, reduce the likelihood of distractions and be more efficient in your content creation process.


Time Hack 5: Create Flexibility

As a mama of young kids, I’ve had to become more flexible with how and when I work. Right now I do have at least 2 dedicated days each week to work, but that hasn’t always been the case so flexibility has been key. 

The mindset? Don’t make yourself wrong for working in pockets of time and making it work for you in the time that you do have. Sometimes that means working after the kids have gone to bed or getting in a little bit of weekend work – and there’s nothing wrong with that. 

I’ve set up my business to be flexible so that I can work from my phone a lot of the time – whether I’m in the car, or at swimming lessons, or nap trapped, or out taking a walk. I can check emails, respond to client messages, or even brainstorm ideas for my next podcast episode. I can work and make the most of those pockets of time throughout the day even if I’m not sitting in front of my laptop.

And something I started doing this year was habit stacking and combining a morning walk with my client check ins. I really wanted to start moving more but I realised I wasn’t getting movement in on my work days because I didn’t want to use my precious work time to go to the gym or squeeze in a workout so I decided to combine both. I saw someone share on instagram that they take their first meeting everyday out on a walk, which inspired me to do the same. It’s a way for me to get movement in without feeling like I’m taking away from my work time.

It’s all about getting creative with how and when you work, and not forcing yourself into a rigid schedule, following rules that don’t exist, if that doesn’t work for you and your season of life right now. This flexibility and permission to do business in a way that works for me has been a game changer for how I use my time.
